Organize client profiles, import contacts, and track client history

Client Management

How do I add a new client?

There are two ways to add clients:

Open the Clients tab

Navigate to the main Clients section

Tap the "+" button

Look for the add new client button

Fill in their information

Add name, contact details, birthday, etc.

Save the profile

Complete the client creation process

Go to Clients > Import Contacts

Navigate to the import feature

Grant permission to access your contacts

Allow ellume to read your device contacts

Select which contacts to import

Choose the contacts you want to add

ellume will create client profiles automatically

The app handles the profile creation for you

What information can I store for each client?

Each client profile can include:

  • Basic Details: Name, phone, email, address
  • Personal Info: Birthday, preferred contact method
  • Images: Photos of their work, inspiration images, AI-generated creations
  • Notes: Preferences, allergies, consultation history
  • Appointment History: All past and future bookings

How do I find a specific client?

Use the search bar at the top of the client list to find clients by:

  • Name
  • Phone number
  • Email address
  • Birthday or appointment dates

You can also filter clients by:

  • All clients
  • Clients with bookings
  • Clients without recent visits
  • Regular vs. new clients

Can I sort my client list?

Yes! Tap the sort button to organize clients by:

  • Name (A-Z or Z-A)

The list is paginated for smooth performance, even with hundreds of clients.

How do I add images to a client profile?

Open the client profile and go to the Files tab. You can:

  • Select images from your photo library
  • Mark images as favorites for quick access
  • Filter by newest, oldest, or favorites only

This is perfect for tracking transformations, keeping inspiration images, and storing AI-generated concepts for future reference.

Can I add notes about my clients?

Absolutely! Notes help you remember important details:

  • Style preferences and dislikes
  • Allergic reactions or sensitivities
  • Personal information they share
  • Technical notes about previous services
  • Future goals and plans

Access notes from the client profile to review before appointments.

When creating or editing calendar events:

  1. Select the client from the dropdown
  2. The appointment will appear in their history
  3. You can see all past appointments in their profile

This creates a complete timeline of your relationship with each client.

Does client data sync across devices?

Yes! All client information syncs automatically across your devices:

  • Profile information and photos
  • Notes and appointment history
  • Search and filter preferences
  • Works offline with automatic sync when online

Can I see client statistics?

Check your dashboard for client insights:

  • Total number of clients
  • New clients this week
  • Regular vs. occasional clients
  • Client engagement patterns

These stats help you understand your business growth and client relationships.

What if I have many clients?
